Your job is to ask the right questions, understand the real business goal, and design a solution that achieves measurable outcomes—not just implement what was asked for.

Don't Say:

Say Instead:

"The AI agent will have a conversation with the customer, gather the information we need, and automatically update your CRM—just like a human agent would, but 24/7."

Demonstrate, Don't Over-Explain

A 2-minute demo is worth 20 minutes of explanation. Show them the agent in action. Let them hear a natural conversation. Let them see the CRM update in real-time. Then explain how it works.

Focus on Outcomes, Not Technology

"How long will implementation take?"

Your Response: Be specific and realistic. "For a use case like yours, typical timeline is 6-8 weeks from kickoff to production launch. Discovery takes 1-2 weeks, implementation 2-4 weeks, UAT 1-2 weeks, then launch. We can compress if needed, but quality is more important than speed."

"What if we need changes later?"

Your Response: "We expect changes—that's part of optimization. Post-launch, we monitor performance weekly and iterate based on real data. Small prompt updates can be done same-day. Bigger changes (new integrations, major workflow updates) follow a change request process with clear timelines."

Scenario 1

Handling Skepticism About AI Accuracy

Client:

"I've heard AI hallucinate and make up information. What if your agent gives wrong information to our customers? We can't afford that kind of risk in banking."

You (Good Response):

Bad Response:

"Sure, we can try to squeeze that in."

To do this properly, we'd need to:

2. Update the conversation flow to handle rescheduling logic
3. Add validation (e.g., only reschedule to available slots)
4. Test the integration thoroughly

This is what we call a change request. Adding it now would push our launch by 2-3 weeks, or we can include it in v2 right after launch, which keeps us on schedule for the initial go-live.

What's more important—launching on time with the core features, or adding this feature now and delaying the launch? I'm happy to do either, just want to make sure we're aligned on priorities."

Why This Works:

  • • Breaks down the actual work required (transparency)
  • • Presents trade-offs clearly (timeline impact)
  • • Offers alternative (v2 post-launch)

Explaining Technical Complexity to Business Stakeholders

Client (CXO):

"I don't understand why we need 4 weeks for implementation. It's just setting up a chatbot, right? Can't we just use ChatGPT and be done in a week?"

Bad Response:

"No, it's much more complex than that. We have to do custom prompt engineering, integrate with multiple APIs, configure STT/TTS pipelines, set up evaluation frameworks, and handle edge cases..."

❌ Why it's bad: Jargon overload, sounds defensive, doesn't address their actual concern

Good Response:

"Great question. Let me use an analogy:

Think of ChatGPT like a brilliant employee who knows a lot but doesn't know anything about your business. What we're doing is more like:

Week 1-2: Training
Teaching the agent your products, processes, compliance rules, and how to talk to your customers in your voice.

Week 2-3: Connecting systems
Linking it to your Salesforce CRM, your database, your telephony system—so it can actually do things, not just talk. Like updating customer records in real-time.

Week 3-4: Quality assurance
Testing hundreds of scenarios to make sure it handles edge cases correctly—angry customers, technical issues, unusual requests. You wouldn't want us to skip this and launch with bugs.

We could compress this to 2 weeks, but we'd sacrifice quality and increase the risk of post-launch issues. Would you prefer speed or reliability?"

Why This Works:

  • • Uses analogy (employee training) instead of technical jargon
  • • Breaks down timeline into understandable phases
  • • Explains why each phase matters (business impact)
  • • Addresses their concern (speed) with trade-off (quality)
  • • Gives them the choice with full context
Scenario 4

Handling a Post-Launch Issue Transparently

Client (Day 3 post-launch, upset):

"We're seeing 15% of calls where the agent is transferring to human immediately without even trying. This defeats the whole purpose! What's going on?"

Bad Response:

"Hmm, let me look into it and get back to you."

❌ Why it's bad: Vague, no ownership, no timeline, leaves client anxious

Good Response:

"You're absolutely right to flag this—15% is higher than it should be. Let me tell you what I know and what we're doing:

What's happening:
I just pulled the call logs and transcripts. The agent is correctly detecting when customers ask for a 'live agent' or say they 'want to talk to a human.' But it's being over-sensitive—transferring on phrases like 'I need help' which should continue the conversation, not transfer.

Why it happened:
During UAT, most test scenarios didn't use those specific phrases, so we didn't catch this pattern. This is exactly why we monitor closely in the first week—real customer language reveals edge cases we couldn't predict.

What we're doing RIGHT NOW:
1. I'm updating the transfer logic to only trigger on explicit requests ("talk to a human", "speak to someone", "transfer me")
2. This fix will be deployed within 2 hours
3. I'll monitor the next 100 calls personally to verify it's resolved

  • • Turns crisis into demonstration of responsiveness

Never be defensive. Client concerns are valid. Acknowledge first, then educate.

Use analogies, not jargon. "Training an employee" resonates more than "prompt engineering."

Present trade-offs clearly. Don't just say yes/no—explain implications and let client decide.

Own problems immediately. When things break, transparency + action plan = trust.

Always have a next step. End every conversation with clear action items and timeline.

Be a Partner, Not a Vendor

You're not just delivering a project—you're helping them achieve business goals. Think long-term: How can this agent evolve? What other use cases could we automate? How can we maximize their ROI?

Deliver on Promises

If you say the agent will be ready Friday, it's ready Friday. If you can't meet a deadline, communicate early. Trust is built through consistency.

Proactively Add Value

Don't wait for them to ask. If you notice a pattern in the data that could improve performance, bring it up. If you see an optimization opportunity, suggest it. Show that you care about their success, not just task completion.

Be Honest When Things Go Wrong

Mistakes happen. Bugs happen. The difference between good and great client relationships is how you handle problems. Own it, fix it fast, explain what you learned, and prevent it from happening again.
